How to Get Started with My Practice Manager

Thank you for signing up to My Practice Manager! You likely have plenty of priorities competing for your time, and we’re here to make things simpler. Below are some quick tips to get you acquainted with the system and start saving time right away.

My Practice Manager is designed to help GP practice managers streamline and simplify daily operational tasks. We’d love to hear how we can further reduce the burden of mundane tasks you face. Avoid Feeling Overwhelmed

A common hurdle new users face is feeling they need to set up every single feature right away. This can be overwhelming, leading some to delay or skip getting started entirely.

Tip: Start small. Begin by using one or two features that fit easily into your day-to-day routine, then add more as you gain comfort and see the benefits.


1. Start with Risk Assessments

We all understand the importance of risk assessments for identifying and mitigating potential issues in the practice. Yet, day-to-day demands can make it easy to postpone them until an external check or an incident occurs.

Why this matters:

  • Skipping risk assessments can increase long-term stress or worry.

  • Having them in place helps you feel confident that you’ve covered your bases.

How to get started:

  1. Whenever you encounter something that requires a risk assessment, go to Compliance: Risk Assessment and create one.

  2. Next, visit the Task Dashboard to log any tasks associated with mitigating those risks.

Over time, this small effort translates into large benefits—less stress, more clarity, and a stronger, more organized practice.


2. Add Deputies or Assistants to My Practice Manager

If you have a deputy or assistant (or a member of the reception team who helps out occasionally), add them in the Settingssection.

Why this helps:

  • You can assign tasks to them directly.

  • Everyone clearly sees what needs to be done and what’s completed.

  • You can avoid time-consuming check-ins and provide freedom while still having an easy way to see the overall status of tasks.

Delegating via My Practice Manager keeps everyone on the same page, which can make the process feel more transparent and less burdensome.


3. Complete Onboarding for One Section

By now, you’ll hopefully see some time savings and reduced stress. To continue making the most of My Practice Manager, consider completing the onboarding for a specific area, like Health and Safety.

How it works:

  1. Go to Onboarding: Health and Safety

  2. Select from our suggested tasks, or add tasks unique to your practice.

  3. Once set up, you’ll receive reminder emails—one at the start of the week, one at the end, and daily emails if any tasks are overdue.

No more trying to remember everything in your head or juggling endless lists. If you have a deputy or assistant, feel free to delegate the onboarding to them so that you can focus on higher-level tasks.


4. Invite an Engaged GP Partner

If you work with a GP partner who enjoys staying up to speed on practice operations, invite them to My Practice Manager. They can view tasks, receive the same email reminders, and stay informed without requiring additional updates from you.


5. Explore Other AI Compliance Modules

Beyond Risk Assessments and Onboarding, you’ll find a range of other compliance tools in My Practice Manager:

  • Policy Writing & Editing

  • Complaint Responses

  • Letters of Support

  • Significant Event Analysis

  • Standard Operating Procedures

Each module aims to simplify and automate parts of the compliance process. Don’t feel pressured to explore everything at once; just remember these tools are available whenever you’re ready.

7. Supplies
